Administrative Coordinator, Regulatory Initiatives

Administrative Coordinator, Regulatory Initiatives

At the CRNA, we are committed to regulatory excellence and safeguarding the public interest. As part of this commitment, we are seeking an Administrative Coordinator to provide administrative and coordination support to the Director, Regulatory Initiatives and team members within the department. This position plays a key role in ensuring effective coordination of daily operations, meetings, communications and records, while also supporting project tracking, reporting and engagement with key audiences.

Working closely with internal teams and external partners, the Administrative Coordinator will help ensure the department functions efficiently and aligns with the CRNA's strategic priorities and administrative processes.

What You Will Do

Administrative and Operational Support

  • Manage calendars, coordinate meetings (including agendas, minutes and follow ups), and support travel arrangements and expense processing
  • Draft, edit and format documents, correspondence and presentation materials with accuracy and attention to detail
  • Track action items and deadlines to support the smooth operation of the department
  • Maintain organized filing systems and ensure confidential information is handled securely and professionally
  • Support internal communications and act as a liaison between the Director, departmental staff and other teams across the organization

Coordination of Projects and Initiatives

  • Assist with coordinating and tracking department-led projects and initiatives, monitoring timelines and progress toward key milestones
  • Prepare routine updates, summary reports, and assist in the development and version control of policy and strategy documents
  • Support the organization of collaborative sessions, events and webinars, including logistics and materials preparation

Information and Records Management

  • Maintain physical and digital records in line with organizational standards, ensuring version control, accessibility and timely updates of key documents
  • Track review dates and coordinate necessary revisions or renewals for departmental documents such as policies, procedures and strategy updates

Engagement and Team Support

  • Serve as a professional point of contact for internal and external audiences, ensuring consistent and accurate information flow
  • Coordinate cross-functional meetings and contribute to the exchange of key information across teams
  • Assist in preparations related to Council reporting and support team efforts to meet governance and reporting timelines
  • Foster a collaborative, positive work environment within the department and across portfolios

What You Possess

Education

  • Completion of a post-secondary program in business administration, office management or a related field

Experience 

  • 3-5 years of administrative, coordination or support experience, including demonstrated ability to:
    • Manage multiple priorities and adapt to changing schedules and expectations
    • Support efficient information flow and decision making across diverse teams
    • Handle sensitive documents with accuracy, confidentiality and version control

Skills & Competencies

  • Organization & Attention to Detail: Highly structured, thorough and accurate with exceptional planning, time management, and the ability to manage competing priorities and deadlines.
  • Communication & Collaboration: Strong listening skills and clear verbal and written communication. Able to build trusted relationships and collaborate effectively with a wide range of audiences.
  • Technology Proficiency: Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, SharePoint) and familiarity with scheduling and collaboration tools.
  • Project Coordination: Experienced in supporting initiatives, ensuring timely follow-through and effective task execution.
  • Problem Solving & Adaptability: Resourceful, methodical and solutions-oriented with the ability to remain calm under pressure and respond to shifting priorities with flexibility.
  • Professionalism & Discretion: Demonstrates a high level of judgment, discretion, and diplomacy when handling confidential matters. Maintains a professional and approachable demeanor at all times.
  • Records & Information Management: Strong skills in maintaining organized systems and implementing effective documentation processes.
  • Team-Oriented & Results-Focused: A reliable and proactive team player who takes initiative and delivers high-quality outcomes with attention to detail and accountability.
